Facility Rental Pricing Information

Please note that while the prices listed below are our general cost rates, St. John’s Institute supports/subsidizes arts and cultural programming and education and can also provide flexible rates for new and non-profit organizations. Equipment and Supplies 

The boardroom, dining hall, and classrooms are all outfitted with tables and chairs (both round and rectangular tables are available); however, audio-visual equipment, boards, and technical equipment that are required for your event can be arranged through our office. AV equipment already on-site is included in the rental cost, while outside equipment can be brought in at cost +20%. Event organizers are welcome to make their own arrangements for the rental of supplies and equipment, but must work with SJI staff to ensure delivery/pickup at the appropriate times.

Excessive cleaning that may be required after a booking will be charged back to the renter at a rate of $50/hour.

Offices are furnished with desks, chairs, and high speed internet connections; all other equipment that may be required is the responsibility of the renter.

Set-up Agreement

Rentals that are provided at a discounted rate (i.e. non-profit, charity, and independent groups) do not include set-up or take-down. Clients booking at a reduced rate are responsible for managing their own set-up and take-down of items, and agree to leave the rooms in the same condition as they found them. Required items, such as tables or chairs, will be available nearby as needed.

Events Including Alcohol

A bar may be set up at any event that is closed to the public. Any event involving alcohol must have a liquor licence posted before any drinks are served. Private-resale or private-non-sale liquor licences may be purchased at any liquor store. SJI is happy to provide a cash bar to your guests where we will set up, provide the liquor licence, the bartender and a selection of beverage options.

All events with a liquor licence must have professional security personnel present. Names of the security provider and contact information must be given to the Promotions & Marketing Manager, Mikaela Karamolegkou. She can be contacted at events@stjohnsinstitute.com. SJI has an in-house security provider who is available should you choose.

All bartenders must have Pro-Serve training. More information about Pro-Serve can be found at http://proserve.aglc.ca/.

For external events, proof of an alcohol liability insurance policy must be provided, with SJI listed as an additional name insured.

Booking Deposits

Booking deposits are required by organizations looking to rent our facilities. Upon confirmation and approval of your booking information, we will send you a Booking Deposit Form, which must be completed and returned to the Events Coordinator. The total Booking Deposit will constitute 20% of the total cost for the facility rental, catering services, and any incidentals or extras required by the renter.
